Archian or WorkflowMax?
WorkflowMax is project accounting: quotes, jobs, time and invoices, for any kind of business. Archian is the whole practice, made for architects and interior designers, so it costs more per person and replaces more.
What WorkflowMax does
WorkflowMax handles quotes, jobs, scheduling, timesheets, invoices and purchase orders. It sends invoices, bills and payments to and from Xero.
Xero used to own it, and closed the original product on 26 June 2024. BlueRock, an Australian firm, bought the name and built a new product. Customers had to choose to move across.
What it costs
Published, per person a month: Essentials for 3 to 25 people at £6.11, Pro from 5 people at £11.11, Advanced from 10 people at £18.89. Paid yearly, £5.50, £10.00 and £17.00.
You can try it free for 14 days, without a card. Reviews of the rebuilt product on Xero's app store are mixed.
Where WorkflowMax is stronger
- It costs much less, and the price is on its website.
- Its link to Xero sits at the centre of the product, and it's simple.
- It's enough if you need jobs, time and invoices, and little else.
Where Archian is different
- It knows how a practice works. RIBA stages, planning applications, the cost plan, and services priced as a percentage of the construction cost.
- You build the budget first. The quote comes from the budget, so you know the gross profit before the client sees a price.
- It covers the whole practice. People planning, leave, reviews, CPD, recruitment, applications, the cost plan, and the business model and objectives are in the same place as your projects. WorkflowMax does project accounting and stops there.
- We do the move. Your projects, clients and quotes come across before day one.
Choose WorkflowMax if
You want the cheapest way to put jobs, time and invoices alongside Xero, and your work doesn't run in stages.
Choose Archian if
You run an architecture or interior design practice of 3 to 30 people. Your work runs in stages, and you want to cost a project before you quote it.
